The Communication Centre follows strict privacy controls to ensure that communications (emails and notifications) are sent only to intended users. It respects user data security and ensures that personal information is used only for official communication purposes.

2. What Data Is Used

The Communication Centre uses only the following user information:

  • Email ID – for sending email communications

  • User Name – for identification inside the platform

  • User Mapping – module, form, or attribute-based associations

No additional personal or sensitive data is accessed or exposed.

3. How User Privacy Is Maintained

  • Messages are sent only to selected users

  • Admins cannot view or access users’ personal inboxes

  • Notifications are visible only to the recipient

  • User lists are shown only to authorized admins

  • Draft communications are not visible to users

4. User Selection & Privacy Control

Admins can choose recipients using controlled methods:

  • Module-based: Only users assigned to that module receive the message

  • Form-based: Only users linked to that form receive the message

  • Manual selection: Admin explicitly selects users

  • Assign to All Users: Sends only within the same organization workspace

This ensures messages are never sent to unintended audiences.

5. Email vs Notification Privacy

Email
  • Sent to the user’s registered email address

  • Email content is not visible to other users

  • Subject and body are private to the recipient

Notification
  • Visible only inside the app

  • Shown only to the selected users

  • Not visible on public Feed or to other users

6. Admin Responsibilities

Admins should:

  • Verify user selection before sending

  • Avoid sharing confidential or sensitive information

  • Use clear and professional language

  • Send communications only when required

Admins are responsible for ensuring that communication content complies with company policies.

Q: Can other users see my email or notification?
No. Communications are private and visible only to recipients.

Q: Can admins track who opened the message?
No personal reading or open tracking is exposed.

Q: Are draft messages visible to users?
No. Drafts are visible only to the admin.

Q: Is user data shared outside the platform?
No. All communications remain within the platform’s secure environment.
